  • Acceptance of Terms

    By accessing or using the website or services of Asatsuyu Japan Luxury Travel (“Asatsuyu,” “we,” “our,” or “us”), or by engaging our services in any capacity, you (“Client,” “you”) acknowledge that you have read, understood, and agree to be bound by these Terms & Conditions (“Terms”) and disclaimers. If you do not agree to these Terms, you must not use our website or services.

  • Services Provided

    Asatsuyu Japan Luxury Travel (“Asatsuyu”) is a boutique luxury travel advisory specializing exclusively in bespoke luxury travel experiences in Japan. Our services include, but are not limited to: Bespoke Itinerary Design & Trip Planning, International and Domestic Flight Assistance, Exclusive Accommodation Selection & Booking, and Concierge Services. All services commence once payment has been received, and all fees are non-refundable and non-transferable.

  • Fee Structure

    Asatsuyu Japan Luxury Travel provides bespoke itinerary design, trip planning, concierge coordination, and management of complex travel logistics. Fees are quoted per trip and are determined based on the number of travelers, trip complexity, and trip length. All fees will be clearly outlined to the Client after the initial consultation.

  • Fees are charged once the Client engages our services and must be paid in full before any work is rendered. All fees are non-refundable and non-transferable once work has commenced.

    All professional service fees charged by Asatsuyu Japan Luxury Travel, whether on our website or in invoices sent directly to Clients, are presented in US dollars (USD). All prices are accurate at the time of publication or at the time the invoice is issued; however, we reserve the right to adjust fees at any time without notice.

    3.1 Supplier Pricing

    Prices for third-party services and products are set solely by each supplier and may differ from publicly available rates. Most suppliers in Japan do not provide luxury travel advisor commissions. In such cases, Asatsuyu Japan Luxury Travel does not add any markups to supplier rates. Clients are charged the same published or quoted price provided directly by the supplier.

  • Ultra Luxury & Large-Group Travel

    For Clients seeking full-property buyouts, exclusive-use stays, or large groups, including private celebrations or special occasions, Asatsuyu Japan Luxury Travel provides bespoke planning and coordination. These trips may involve complex logistics, multiple bookings, private transportation, dedicated staff, and exclusive experiences.

  • Fees consist of:

    Bespoke Itinerary Design & Trip Planning Fee – Fees are quoted per trip and are determined based on the number of travelers, trip complexity, and trip length.

    Arrangement Fee – A fee equal to 10% of the total cost of all applicable travel arrangements booked through Asatsuyu Japan Luxury Travel.

    Fees are non-refundable and non-transferable once payment has been received and services have commenced. Prices are subject to supplier availability, trip complexity, and client requirements. For a personalized quote, Clients must contact Asatsuyu Japan Luxury Travel directly.

    By engaging Asatsuyu Japan Luxury Travel for ultra-luxury or large-group travel, Clients acknowledge the exclusive and personalized nature of the services and agree to the pricing, policies, and conditions outlined in this section.

  • Client Responsibilities (Japan Entry Requirements)

    Clients are responsible for meeting all Japanese entry requirements, including valid passports, visas (if required), and documentation. Japan requires most visitors to hold a passport valid for at least six months beyond the travel dates. Failure to comply with these requirements may result in denied entry to Japan, additional costs, or other inconveniences, for which Asatsuyu Japan Luxury Travel is not responsible. Clients must review all travel confirmations for accuracy and notify Asatsuyu immediately of any discrepancies.

  • Payments & Cancellations

  • 6.1 Payments to Asatsuyu Japan Luxury Travel:

    Clients agree to pay for Bespoke Itinerary Design and Trip Planning, Concierge Services, and other professional services. All fees are applicable only to the specific travel engagement to which they relate, are non-refundable, and non-transferable once work has commenced. Services will not commence, and reservations will not be processed, without the Client’s signed Credit Card Authorization Form or receipt of full payment via bank transfer.

    6.2 Payments to Suppliers:

    Final payment for accommodations, domestic and international flights, transportation, dining, activities, and other third-party services is due according to each supplier’s terms and conditions. Supplier prices may be quoted in Japanese Yen (JPY), and Clients are responsible for any currency conversion or international transaction fees applied by their bank or credit card company. Availability and pricing of all services are subject to change and are not guaranteed until payment is received. Any disputes, chargebacks, or penalties related to payments to these suppliers are governed by the supplier’s own terms and policies. Asatsuyu Japan Luxury Travel is not responsible for resolving, reimbursing, or covering any charges arising from supplier actions. Any such issues must be addressed directly with the supplier.

    6.3 Foreign Currency Disclaimer

    Quotes in foreign currencies are subject to fluctuations in exchange rates and international credit card issuer fees. Asatsuyu Japan Luxury Travel is not responsible for changes in currency conversion applied by financial institutions.

    6.4 Payment Methods & Late Payment

    Accepted payment methods: bank transfer, credit card, or as specified in invoice. Late payment may result in suspension of services, cancellation of reservations, or refusal to provide further arrangements until payment is made. Any bank or transaction fees are the responsibility of the client.

    6.5 Cancellations and Amendments:

    All cancellation or amendment requests must be sent to Asatsuyu Japan Luxury Travel in writing. Clients acknowledge that both Asatsuyu Japan Luxury Travel and third-party suppliers may impose cancellation or amendment fees in accordance with cancellation policies, which will be provided to and communicated with Clients in their travel documentation by Asatsuyu Japan Luxury Travel and/or the relevant third-party supplier. If any fees or policies are unclear, Clients should contact Asatsuyu Japan Luxury Travel for clarification. All applicable fees will be charged to the credit card on file or deducted from the supplier’s refund.

    6.6 Ultra-Luxury & Large-Group Travel:

    For full-property buyouts, exclusive-use stays, or large-group travel, all fees—including the Bespoke Itinerary Design & Trip Planning Fee and Professional Service Fee (10% of the total cost of all travel arrangements booked through Asatsuyu Japan Luxury Travel)—are non-refundable and non-transferable once payment has been received and work has commenced. In the event of client cancellations, Asatsuyu Japan Luxury Travel will assist with supplier refunds or alternative arrangements where possible, and any applicable fees will be discussed with the client before proceeding.

  • Travel Insurance and Liability Acknowledgment

  • We strongly recommend that all clients purchase comprehensive travel insurance prior to their trip. Asatsuyu Japan Luxury Travel does not provide or arrange insurance. Clients are solely responsible for securing their own coverage.

    Travel insurance should cover, but is not limited to, medical expenses, emergency evacuation, trip cancellations, lost or stolen property, and any other non-refundable costs or unexpected expenses. Clients are responsible for complying with all regulations in Japan, including any new rules requiring foreign travelers to have valid medical insurance.

    Asatsuyu Japan Luxury Travel is not liable for any losses, cancellations, non-refundable costs, medical expenses, or other unforeseen expenses incurred during travel, regardless of cause.

  • Disclaimer of Liability

  • 8.1 Role of Asatsuyu Japan Luxury Travel

    Asatsuyu Japan Luxury Travel acts solely as a travel advisor and intermediary between clients and third-party travel-related services, including but not limited to airlines, hotels, ryokans, villas, transportation companies, rental cars, rail and ferry operators, tour and activity providers, restaurants, cultural institutions, and other service providers.

    All travel services are provided by third-party suppliers and are not owned, managed, or operated by Asatsuyu Japan Luxury Travel.

    8.2 Supplier Terms and Conditions

    Clients acknowledge that all third-party suppliers have their own contracts covering cancellations, changes, and other terms. Clients may be bound by these contracts regardless of notice. Asatsuyu Japan Luxury Travel is not responsible for enforcing, modifying, or covering any penalties, fees, or obligations arising from supplier contracts.

    8.3 Liability for Third-Party Services

    Asatsuyu Japan Luxury Travel is not responsible or liable for any loss, damage, injury, illness, accident, death, delay, or expense resulting from:

    - Actions, errors, omissions, negligence, representations, warranties, or misconduct of any supplier.

    - Overbooking, schedule changes, delays, operational decisions, or cancellations by airlines, hotels, or other providers.

    - Natural disasters, earthquakes, weather conditions, or circumstances beyond our control.

    - Theft, loss of personal items, or incidents related to safety, health, or security.

    - Cultural, legal, logistical, or environmental conditions in Japan or any destination visited.

    8.4 Driver’s License Translation Assistance

    Asatsuyu Japan Luxury Travel may assist clients in submitting driver’s license translation requests to the Japan Automobile Federation (JAF). This assistance is provided as a convenience only. Asatsuyu Japan Luxury Travel is not responsible or liable for any driving-related issues, including acceptance of the translated license, accidents, injuries, fines, vehicle damage, violations, or any legal consequences arising from driving in Japan.

    8.5 Restaurant Etiquette & Dress Code

    Clients are responsible for respecting local customs, cultural practices, and restaurant policies in Japan, including appropriate attire and personal grooming. Some establishments may prohibit the use of perfumes or strong fragrances, as these can interfere with the dining experience. Asatsuyu Japan Luxury Travel is not responsible for denial of entry, fines, or any inconvenience arising from non-compliance with such rules.

    8.6 Dining and Food-Related Risks

    Clients acknowledge that dining in Japan may involve consuming raw or specialty foods, and that individual dietary restrictions or sensitivities may increase the risk of foodborne illness or stomach discomfort. Asatsuyu Japan Luxury Travel is not responsible for any illness, allergic reaction, or food-related health issues that may occur during travel.

    8.7 Inherent Travel Risks

    Clients acknowledge that travel involves inherent risks and agree to travel at their own risk. By using our services, clients agree to hold Asatsuyu Japan Luxury Travel harmless from any claims, liabilities, costs, or damages arising from third-party services or events beyond our control.

    8.8 Limitation of Liability

    To the fullest extent permitted by law, Asatsuyu Japan Luxury Travel’s total liability to the Client for any claims arising from or related to these Terms shall not exceed the total fees paid by the Client to Asatsuyu for the relevant services. This limitation applies regardless of the cause of action, including negligence, breach of contract, or otherwise.

    8.9 Force Majeure

    Asatsuyu Japan Luxury Travel shall not be liable for any failure or delay in performing services due to circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, strikes, labor disputes, government actions, transportation delays, or other unforeseen events. In such cases, we will make reasonable efforts to provide alternative arrangements, but cannot guarantee outcomes.

  • Privacy & Data Protection

    We will collect and use necessary personal data to arrange travel services on your behalf. By using our services, Clients consent to data sharing with suppliers as required. Clients have the right to request deletion of their personal data at any time by contacting Asatsuyu Japan Luxury Travel.

  • Intellectual Property

    All itineraries, travel plans, recommendations, and other materials provided by Asatsuyu Japan Luxury Travel are the intellectual property of Asatsuyu. Clients may use these materials solely for personal, non-commercial purposes related to their booked trip. Sharing is permitted only with travel companions included in the booking. Reproduction, distribution, sale, or sharing outside the booked travel group is strictly prohibited and may result in legal action.

  • Governing Law and Jurisdiction

    These Terms shall be governed by and construed in accordance with the laws of Japan, given that Asatsuyu Japan Luxury Travel provides travel advisory services focused on Japan.

  • 11.1 Dispute Resolution / Arbitration

    In the event of any dispute or claim arising from or related to these Terms, the parties agree to first attempt to resolve the matter amicably through negotiation or mediation

  • Amendments to Terms

    Asatsuyu Japan Luxury Travel reserves the right to amend or update these Terms at any time without prior notice. Clients are responsible for reviewing the Terms periodically. Continued use of services constitutes acceptance of any changes.

  • Severability

    If any provision of these Terms is found to be invalid, illegal, or unenforceable under applicable law, such provision shall be modified to the minimum extent necessary to make it enforceable, and the remaining provisions shall remain in full force and effect.
