Terms & Conditions

    1. Please check your documents when you receive them. Reach us from our contact information provided here if you have any questions.
    2. RECONFIRMATION – Reconfirm the use and time of the flight at least 72 hours for international and 24 hours for domestic. Failure to use any reservations may result in automatic cancellations continuing and return reservations.
    3. Passports and Visas - Client understands that if traveling internationally from your country of origin to Japan, Client must have a valid passport and, depending upon Client’s nationality, Client may need to obtain one or more visas. Passport and visa information may be obtained by contacting the Japan Embassy Visa/Consular Services in your country of residence or by visiting their website. Most countries require that a passport’s expiration must be at least six months after Client’s scheduled return.
    4. CHECK-IN - Minimum check-in for International flights is 3 hours and for Domestic flights is 90 minutes. BE PREPARED TO PRESENT A PASSPORT AT THE TICKET COUNTER.
    5. Flights, fares, and time are based on current tariffs that are subject to change without notice.
    6. Tickets - Most tickets have value. Any unused flight coupons must be returned in order to determine refund value. Lost, stolen, or destroyed tickets must be paid for until a refund is received from issuing carrier, subject to an airline-imposed service charge.
    7. Hotels - are usually confirmed on a guaranteed payment basis. If you cancel or change plans, please notify your hotel(s) within the time period specified by that hotel. Rules may vary by property.
    8. IMPORTANT! - If you are at an airline ticket or passenger check-in counter with your confirmed ticket and find that the airline shows no reservations for you, do not leave the counter. Check your ticket. If the status box shows “OK” for the flight in question, the airline must accommodate you on that flight, or if that is not possible, they must either find a substitute flight or pay you denied boarding compensation. If necessary ask to speak to a supervisor.
    9. Fee Structure - We provide unique customized travel planning and, therefore, charge for our time, knowledge, and expertise. Our experience, network of partners, and exclusive access provide the optimum experience and value for clients. Charges are based on the complexity and length of the trip and will be clearly outlined after the initial complimentary consultation conversation. Outlined fees will only be charged should the Client choose to move forward with the travel planning. Our fees are non-refundable and non-transferable. All prices indicated on the Asatsuyu Japan Luxury Travel Website are expressed in US dollars (USD$). The prices charged may vary according to changes in the foreign exchange rates. We have no control over the foreign exchange rates set by financial institutions and bear no responsibility for the foreign exchange conversion used. All prices are correct at time of publication. However, we reserve the right to alter prices for any reason without notice.

    Client understands the following policies apply:
    • Asatsuyu Japan Luxury Travel will always outline fees to the Client after the complimentary consultation and prior to travel planning. Click the link for full information and a breakdown of our Travel Design Fee and other Services Fees.
    • Asatsuyu Japan Luxury Travel will not proceed with travel planning service and will not process reservations without a Client’s signed Credit Card Authorization Form or bank transfer payment.
    • Full payment of the Travel Design Fee and/or Other Service Fees must be settled before any services could be rendered (Please use the Credit Card Authorization Form attached to this page to fill out the details of your credit card, which will be kept on file. )
    • Air Travel Booking Assistance fees, Hotel Booking Service fees, and Concierge Service fees are invoiced by Asatsuyu Japan Travel once trip planning is completed.
    • Invoices not paid prior to travel will be charged to the Client’s credit card on file.
    • Availability and price of air tickets, accommodation, local restaurant dining reservation, spa, etc. are subject to change and are not guaranteed until payment is made.
    • There may be additional fees charged to the Client by the suppliers and/or airlines for cancellations.
    • Price quotes are applicable to the date and time at which they are requested.
    • Quotes in a foreign currency are subject to fluctuations in exchange rates and international credit card issuer fees.
    • Asatsuyu Japan Luxury Travel assumes no liability for cancellation fees or non-refundable trip costs.
    • If the Client’s travel arrangements are canceled or postponed by a Supplier due to a pandemic or any other reason, we will try to assist with refunds or alternative arrangements, and a fee may apply, but we will discuss it with the Client first.
    • If a Supplier drops the price of a trip after booking, we will try to assist with rebooking if the Supplier allows it, and a fee may apply. We do not guarantee any refunds or successful rebooking.
    • By submitting the Credit Card Authorization, you grant Asatsuyu Japan Luxury Travel authorization to charge fees using the credit card on file.
    10. Payments & Cancellations - Final payment is due prior to departure according to each supplier’s (airline, hotel, cruise line, transfer company, sightseeing operators, and other travel service vendors) terms and conditions involved in your travel booking. If final and full payment is not received by the applicable due date, reservations are subject to cancellation and deposits shall be forfeited. In some cases, there is NO REFUND once a booking is made and paid for. Your right to a refund if you change or cancel your travel plans is limited. All cancellation requests must be sent to Asatsuyu Japan Luxury Travel in writing. As a result of cancellation, Asatsuyu Japan Luxury Travel’s and third party supplier’s cancellation penalties will apply, which are detailed in your travel documentation, this website, and each of the supplier’s website. Cancellation penalties are advised at time of booking and provided to you upon confirmation. If you have any questions, or any penalties are unclear, please contact your Asatsuyu Japan Luxury Travel advisor. All cancellation fees will be charged to the credit card you authorized to pay for travel services, or deducted from the supplier’s refund.
    11. Disclaimer of Liablity - Asatsuyu Japan Luxury Travel acts as a travel advisor providing assistance and coordination services for travelers. While we endeavor to ensure the accuracy and reliability of the information provided, we cannot guarantee the completeness, timeliness, or accuracy of the content. We do not assume liability for any breach of contracts, errors, omissions, or inaccuracies in the content presented on our platform or in our communications. Additionally, we do not accept responsibility for any loss, damage, injury, or inconvenience arising from the use of our services, including but not limited to itinerary planning, bookings, recommendations, or travel arrangements. Travelers acknowledge that Asatsuyu Japan Luxury Travel shall not be responsible for any injuries, damages, or losses incurred due to circumstances beyond our control, including but not limited to terrorist activities, social unrest, mechanical failures, diseases, local laws, weather conditions, criminal acts, or unforeseen developments.
    12. Proof of Identity - Without proper identification, or passport and necessary visas, you will not be permitted to depart. It is your responsibility to verify your necessary travel documents.
    13. Travel Insurance - We strongly recommend the purchase of travel insurance. Asatsuyu Japan Luxury Travel assumes no liability for cancellation fees or non-refundable trip costs. Travel insurance or waivers provided by the supplier may not offer insolvency coverage.
    14. Supplier Terms and Conditions - Airlines, hotels, car rental companies, railways, tour operators, and other Suppliers have their own contracts covering cancellation penalties and other terms and conditions, and the Client may be bound by those contracts regardless of whether the Client receives notice of their terms.
